How to read your result

Profitis what's left of the quoted price after every cost of actually delivering the job — your own labour, materials or subcontractors, other project costs, and a share of overhead. Profit margin expresses that as a percentage of the quote.

If you entered estimated hours, effective hourly profit shows what the job is really worth per hour of your time — useful for comparing two very different-sized jobs on the same basis.

Worked example

A freelancer quotes €1,200 for a project estimated at 20 hours, costing €600 of their own labour, €150 of materials, €50 of other costs, and 10% overhead (€120). Total cost = €600 + €150 + €50 + €120 = €920. Profit = €1,200 − €920 = €280, a 23.3% margin — and €14/hour of profit on top of the €30/hour labour cost already built into the quote.

Formula

Total cost = Labour + Materials + Other costs + (Quoted price × Overhead %)

Profit = Quoted price − Total cost

Profit margin % = Profit ÷ Quoted price × 100

Good to know

A quote that looks fine on price alone can still be a bad job once your own time and a fair share of overhead are counted as real costs — this check is most useful run before you send a quote, not after you've already delivered the work.

Frequently Asked Questions

Why include my own labour cost — isn't the whole quote profit?+

If your time isn't costed into the job, the "profit" shown includes your own unpaid labour. Costing your time at a real hourly rate shows whether the job is actually worth taking, not just cash-flow positive.

What should I enter for overhead allocation?+

A rough share of your fixed running costs — rent, insurance, admin time — that this job should contribute toward. Many small businesses use a flat 10–15% of the quoted price as a starting point, then refine it against their real annual overhead.

Why is estimated hours optional?+

Profit and margin can be calculated from cost and price alone. Hours are only needed for the effective hourly profit figure — useful for comparing jobs of different sizes on the same basis.

Is this the same as a break-even calculation?+

Related but different — break-even tells you the sales volume needed to cover fixed costs overall. This tool checks one specific quote's profit before you send it, including your own labour and a share of overhead.
